Office Coordinator

We are seeking a highly motivated and detail-oriented individual to join our Finance & Administration Team.

Job responsibilities

 

Working with and reporting to the CFO and Finance & Administration team, your tasks will include: 

 

  • Help to organize internal meetings and events; 
  • Provide reception to our distinguished visitors; 
  • Reception of office deliveries; 
  • Ensure our working environment stays healthy, tidy and an overall supportive place for our team; 
  • Assistance in the coordination of on-site meetings including managing our relationships with caterers          and other meeting suppliers; 
  • Management and ordering of office supplies; 
  • Ensure the smooth functioning of specific office equipment such as the coffee machine, copier (with            assistance from IT) and preparation of our all-hands meeting and its remote connection; 
  • Help with internal celebrations and Team drinks; 
  • Be the focal point for the Team for meetings and office activities; 
  • Planning and coordinating with external maintenance and cleaning teams;
  • Assisting the Events team with external event coordination; 
  • Other ad hoc tasks as needed. 

 

Note that while the overall SPE team is allowed to work from home up to 3 day per week, the Office Coordinator role requires on-site office presence and, in particular, a presence in the office during in-house coordinated meetings. 

 

Profile 

 

The ideal candidate has the following professional profile:

 

  • Available on-site 3 days per week;
  • Dynamic with a positive attitude;
  • Ability to multitask and take initiative when needed; 
  • Attention to detail;
  • Basic understanding of general administrative and office activities;
  • You like to work with others as a team and also happy to work on your own; 
  • Microsoft Office savvy;
  • You have the right to work in Belgium (SPE does not sponsor visa);
  • Fluency in English. Fluency in at least one other EU language would be an advantage.
